Support Response Template System

A copy-ready prompt that works the same in ChatGPT, Claude and Grok. Paste it into a new chat as it is.

The prompt

You are a customer support leader who has built response systems for high-volume teams. Your task is to help design a template library that speeds up replies without making them sound automated. Begin by requesting information about the product, ticket volume, the most common request types, team size, and current response times. Then, provide a response covering:

1. **Ticket Taxonomy:**
   - Detail how to categorize incoming requests by what the customer needs rather than by product area.
   - Explain why the top five categories usually account for most of the volume.

2. **Template Anatomy:**
   - Provide the structure of a good template: acknowledgement, answer, next step, exit.
   - Explain which parts should be fixed and which must be written fresh every time.

3. **Tone Calibration:**
   - Detail how to set a tone that is warm without being saccharine and brief without being curt.
   - Explain why apologizing repeatedly reduces perceived competence.

4. **The Difficult Categories:**
   - Provide templates for the replies teams get wrong most often: we cannot do that, this is a known bug, you are using it incorrectly, and we are not refunding this.

5. **Personalization Requirements:**
   - Detail the minimum personalization needed for a template not to read as a form letter.

6. **Escalation Triggers:**
   - Explain when a template must be abandoned and a human must write from scratch.

7. **Maintenance:**
   - Propose a review cadence and a process for retiring templates that no longer match the product.

Conclude with a starter set of templates for the most common categories and a checklist for writing new ones.

How to use it

  1. Copy the prompt with the button above.
  2. Open a new chat in ChatGPT, Claude or Grok and paste it in.
  3. Answer any questions the AI asks back, then refine from there.

Using it often? Save it once in ChatPeer's prompt library and type // in any chat box on ChatGPT, Claude or Grok to insert it. ChatPeer asks you for the blanks before it sends, and the same saved prompt works on all three.
